An HVAC company kept every job on paper. We built an app that reads each invoice and files it under the house it came from.

American Air Cares fixes heating and air conditioning in homes around Port St. Lucie. Every job ends with an invoice. For years, those invoices were paper.
Every answer was in a box somewhere
When a customer calls, the first questions are simple: when were we last at this house, and what did we do? The answer was on a piece of paper, in a box, filed by month.
Early tries at typing them up came out messy. Names, phone numbers and emails were jumbled into one field. Dates were written different ways. The same city was spelled three different ways.
An app that reads the invoices for you
We built American Air Cares its own app. Here’s how a stack of paper becomes a record you can search:
- Scan a stack of invoices
- The app reads each page and fills in the details
- A person checks anything the app isn’t sure about, marked in yellow
- The job is filed under its address, with that house’s full history
- Anyone on the team can search by address, name or job, even from a phone in the van

What changed
2,271 invoices from 2023 to 2025 are filed so far, and the team is adding every invoice back to 2015. Looking up a house is now one search.
